Zadano1. Principles
- Off by default. Zadano works fully without AI. The features run only if you enable them.
- Bring your own key (BYOK). AI works exclusively with your own API key from a provider you choose.
- You decide. The AI only suggests. Nothing is written into a workbook without your explicit approval.
- Transparency. This page describes exactly what is sent, where and when.
2. What the AI features do
"Smart notes" analyze the text of a note you choose and suggest: new tasks (title, description, priority) and updates to existing tasks (complete, start, comment). Suggestions are shown for review; only the ones you approve are applied, on your behalf. The AI has no write permissions of its own.
3. What is sent
When you press "Analyze", only this is sent: the text of the note (up to 8,000 characters) and the titles and statuses of up to 100 open tasks in the same scope, so the suggestions make sense. Not sent: data from other workbooks, member lists, email addresses or keys.
4. Where the data goes
The request passes through a protected Zadano server function and goes directly to the provider you selected: Anthropic (Claude), OpenAI or Google (Gemini). Zadano stores neither the request nor the raw response; the suggestions live only in your session until you decide what to approve. The provider's own terms govern its processing: Anthropic, OpenAI, Google. Under their current API terms these providers generally do not use API data to train models; check your provider's terms before adding a key.
5. Your key
The key is stored in a private document in your space, readable only by your account under the access rules. The server function uses it only at the moment of a request, on your behalf. You can replace or delete it at any time in the settings; deleting it stops the AI features immediately.
6. Costs
Requests are billed directly by the provider at its prices, to your account. Zadano charges nothing and has no access to your billing.
7. What we do not do
We do not use AI for profiling, advertising, behavioral analysis or decisions with legal effect. We do not train models on your data.
8. Changes
